Planning, organization, valuation, and certification management for Kingston Engineering College (Autonomous)

The Controller of Examinations (COE) office at Kingston Engineering College (Autonomous) plays a pivotal role in managing the entire examination lifecycle. The activities are systematically organized into three well-defined phases – Pre-Examination, During-Examination, and Post-Examination – ensuring that the conduct of all internal assessments and autonomous end-semester examinations remains smooth, transparent, highly secure, and compliant with Anna University regulations.

Examination Process Lifecycle

Pre-Examination Phase

Planning • Question Paper Setting • Enrolment

This phase focuses on meticulous planning and preparation. Activities include student enrolment, course registration, scheduling of Common Assessment Tests (CAT), and examination fee collection for end-semester examinations. The autonomous examination timetable is prepared and approved well in advance. Comprehensive arrangements are made for both theory and laboratory practical examinations. Key tasks include procuring examination stationery, printing barcoded answer booklets, appointing Board of Examiners (BoE), question paper setting, scrutinizing by external experts, and ultra-secure printing and sealing of question papers.

During-Examination Phase

Conduct • Invigilation • University Coordination

This stage ensures systematic, disciplined, and fair conduct of examinations. It involves generating hall tickets with student biometric/photo verification, generating seating attendance sheets, appointing examiner panels, and coordinating with external examiners from Anna University and premier autonomous institutions. For theory examinations, Anna University Representative (AUR) is coordinated with, Chief Superintendents and Hall Invigilators are appointed by the COE, seating arrangements are published, and CCTV-monitored examination halls are prepared. After each session, answer scripts are securely collected, barcoded, bundled, and handed over to the confidential custody of the Deputy COE. Strict discipline is maintained, and any malpractice cases are promptly referred to the Malpractice Inquiry Committee.

Post-Examination Phase

Evaluation • Results • Grade Sheets • Graduation

The final phase focuses on rigorous evaluation, result processing, and certification. Dummy numbers are allotted to answer booklets to maintain absolute anonymity. Marks are entered securely into the autonomous examination database. Consolidated grades are reviewed during the Result Passing Board (RPB) meeting in the presence of the Principal, COE, and Anna University nominee prior to official result publication. Post-examination services include result declaration, processing applications for photocopy of answer scripts, transparent revaluation, issuing semester grade sheets and consolidated mark statements, forwarding degree award recommendations to Anna University, and conferring degrees on Graduation Day.

Central Valuation & Double Blind Evaluation

To uphold the highest benchmarks of academic integrity and grading consistency, answer scripts undergo a double-blind valuation system. Both internal faculty and external examiners from reputed academic institutions evaluate the scripts independently. If a variance exceeding 15 marks is observed between valuations, a third evaluation is conducted by an independent senior subject expert. Transparent photocopy and review processes ensure total fairness for every candidate.

Kingston Engineering College leverages a comprehensive digitized examination management system that integrates the complete student lifecycle: faculty course allocation, biometric and attendance tracking, Continuous Internal Evaluation (CIE) calculation, automated hall ticket generation, barcoded answer sheet tracking, result compilation in ISO-compliant formats, and rapid generation of semester grade cards and official transcripts.
